Patient Record Overview


Step 1. From the SimpleClinic left hand main menu, select Patients. This will display a list of your patients in alphabetical order by last name, from here: 

  • Create New -> Select Create to add a new patient
  • Search -> for patients by first name, last name, email or phone
  • Filter -> patients by Practitioner, Type and Status




Step 2. Click on the row of a patient to access a sidebar with quick actions, such as:

  • Edit the patient name, mobile phone, email, DOB and gender. 
  • Send an email
  • Send an SMS



Step 3. Click on the arrow next to the patient to open the full patient file. 




Step 4. Access the following menus from the patient file:



Step 5. Use the top action bar to complete the following actions: 

  • Create -> an Invoice, Treatment Note or Prescription
  • Send Message -> to send an SMS or an Email 
  • Mark Bad -> restricts the patient from booking online
  • Mark VIP -> mark special clients




Information


Step 6. Complete the following fields on the Information tab: 


  • First Name and Last Name
  • Mobile Phone
  • Email
  • Date of Birth
  • Gender
  • Address -> inc. Street 1, Street 2, Suburb, State, Postcode and Country
  • Practitioner
  • Type -> Patient or Contact (e.g. professional referral contact) 
  • Source -> common referral sources 
  • Referring Patient -> if the referral source was a patient in your patient list 
  • Custom Fields -> for additional information and health alerts
  • Notes -> shown here and on patient invoices


Important Notes:

  • First Name, Last Name, Mobile Phone, Email and DOB are mandatory fields. 
  • Email and DOB are used to match patient records when they book online, if these do not match a new record will be created and you will need to merge the patient files.
  • Street 2 is not used when sending orders to Ariya
  • Do not store the patient’s credit card details in any text fields in the patient record! Doing so would be a credit card security breach. Instead register to use a payment gateway to save any credit card details in Payment Details


Messages


Send and view emails, SMSs and Chats on the messages tab. 


 


Step 7. Send an Email by selecting Send Message -> then Send Email. Use content blocks to send email templates.



Step 8. Send an SMS by selecting Send Message -> then Send SMS. Use content blocks to send SMS templates - please note character limit costs and that formatting will not appear in SMSs. 



Step 9. View Emails and SMSs by clicking on each message on the left hand side. This will open a sidebar to view and reply to emails and SMSs. 



Step 10. View chat previews from the right hand side of the Messages tab. To view full chat history, go to the Chat menu
