The AI Scribe - Lumielle - allows consultations to be recorded and automatically converted into structured treatment notes.


During a consultation, the system records the audio and generates a transcript. This transcript is then processed by AI and organised into the fields used in your treatment note. 


The content generated in each section depends on the fields configured in your appointment type, allowing information to be grouped into the relevant parts of the treatment note.


There are two different process depending on whether your patient in in person or online via SC meet.

  • There are two different process depending on whether your patient is in person or online via SC meet.
  • For SC Meet transcriptions you can map the service reminder categories to appointment types to get the full range of custom fields from the lumielle config in integrations.
  • Lumielle must be connected first and the license agreement accepted.

AI Scribe Overview 


From within the Treatment Note -> select the Transcribe Treatment Note button from the Lumielle icon.


Lumielle will need to get permission to use your devices microphone - the permission window will depend on your device.

In Person Transcription


Step 1. Start your consultation as normal -> Click Record to begin recording the consultation -> When the consultation is finished, stop the recording -> select Create Treatment Note -> the system will transcribe the audio and convert it into a treatment note automatically -> once complete, review the generated note and make any adjustments before saving.


The treatment note will be populated based on the fields configured in your appointment type, so information will be organised into the relevant sections. 


Important

  • The Notes and Next Actions fields must be enabled for the AI Scribe to work. 
  • If you have additional custom fields in your appointment type, the AI will attempt to populate them automatically. 
  • Processing time depends on consultation length. For example, a short consultation may take around 10–15 seconds, while longer consultations may take up to around a minute to convert. 




SC Meet Transcription


Before following these steps -> Set Custom Fields for SC Meet Transcriptions


Step 2. Start your SC Meet consultation as normal -> Click Record after confirming your audio is working -> The patient will be asked to consent to recording before the meeting continues -> Complete the consultation and end the meeting.


After the meeting ends, the recording is processed and converted into a treatment note.


Step 3. Because the system does not know the appointment type used for the consultation, the generated content will be placed into the Notes and Next Actions fields (or as assigned above). Content will be grouped into logical sections so you can easily move it into the appropriate fields if required.
