If you have duplicate client records for one client, you must complete all 8 steps below, including step 9 if there is more than 2 patient records. 


New patient records are created when a patient books online and the DOB and email combination doesn't match the existing record. 



Choosing the correct record


The only page that will not merge is the 'Information' tab, make sure you have all the patient information you need to keep on the 'correct' patient record below.


Editing the incorrect records


1. Go to Patients -> Select the INCORRECT record from the patient list FIRST-> then select the information tab. 


2. add a 1 to the Surname so it's easier to see in the merge window. 


3. add an * to the email field so that any patient information in the future is not matched to the inactive record. 


4. Click SAVE.


5. If you have more than 2 records, repeat steps 1 - 4 for all the incorrect patient records, adding a 1, 2, 3 etc. 



Merging the records


6. Make sure you start from the INCORRECT file -> from here select the Merge button (see below): 




7. After selecting the merge button -> select the patient record that will become the PRIMARY (correct) patient record. This will be the name that doesn't have a 1,2,3 in it. (see image below). 


8. Select OK -> You will then be redirected to the merged record.


9. Repeat steps 6 - 8 for every INCORRECT patient record that you have, merging it into the CORRECT patient record
